Bid Intake — upload RFP documents
Download the solicitation and its attachments from SAM.gov, state and local portals, private bid boards, or an email invite, then upload the PDF, Word, or image files. Get a plain-language summary, a submission checklist, a draft proposal, and a bid / no-bid recommendation.
Bid workspace with outline and requirement tracing
Upload the RFP once and get a proposal outline (with page limits and evaluation weights), every shall / must requirement, key dates, format rules, and a forms checklist. Trace each requirement to the section that answers it, and see what is still unanswered. Works with no AI.
Reviews and pre-submission check
Assign section owners, track drafting and review status, leave comments, score a red-team checklist, and run a pre-submission check for page limits, missing sections, leftover placeholders, deadlines, and unticked forms.
Compliance matrix
Shreds requirements out of the solicitation text (instructions, evaluation criteria, must / shall statements) into a matrix you can assign, track, and export.
Go / No-Go scorecard
Score the opportunity against your capacity, past performance, competition, and margin before you spend hours writing.
Proposal generator
Draft a complete technical proposal from the scope and RFP notes, edit it in the app, and export a formatted Word document.
Quotes and offer letters
Build a priced quote from line items and generate the cover offer letter.
Answer library, past performance, and team bios
Save reusable answers, structured past-performance records, and key-personnel bios. Each proposal section suggests the best matches and inserts them in one click.
Bid leveling
Compare subcontractor and supplier quotes scope line by scope line, flag scope gaps and outliers, and compare leveled totals.
Win / loss log
Record why bids were won or lost, price gaps, and lessons learned, and see win rate and loss reasons over time.
Deadline tracker, projects, suppliers
See what is due this week, track projects, and keep a supplier directory with AI-assisted sourcing suggestions.
Analytics and reports
Win rate, pipeline value, and formatted proposal reports.
Frequently asked questions
Can I upload RFP documents and attachments from SAM.gov or other sites?
Yes. Download the files from any source and upload them to Bid Intake. There is no SAM.gov login or API connection to set up.
Where is my data stored?
In your browser. There are no accounts. Download a backup file from Firm Profile & Backup to keep or move your data.
Do I need an AI account or key?
Most features work without AI: compliance matrix extraction, Go / No-Go scoring, requirement tracing, content library, review workflow, pre-submission check, bid leveling, deadlines, suppliers, analytics, and Word export. Only the features that write or summarize text (RFP summary, proposal and offer-letter drafts, the assistants) need your own API key from OpenAI, Anthropic, Groq, or OpenRouter. The key stays in your browser, your provider bills your own account, and we never use our own AI credentials.
Is the AI output ready to submit?
No. Treat every AI summary, matrix, and draft as a starting point and verify it against the original solicitation before submitting.
What does it cost?
Procurement Tools are included in the All-Access Pass ($12.99, one time), which unlocks every paid tool, lab, and reader on the site.
These tools assist with drafting and organization and do not provide legal advice. Verify all requirements and pricing against the official solicitation.
