What are Revit worksets?

Worksets are a Revit worksharing feature that divides a shared central model into segments that can be owned and edited by different team members simultaneously. Each element belongs to one workset. Team members check out worksets to gain editing rights. Properly structured worksets prevent editing conflicts, allow selective model visibility (close unneeded worksets to improve performance), and enable multi-user coordination on large projects.

Workset structure by project type

The planner generates workset lists tailored to your project type and team size. Healthcare projects get Worksets for each MEP discipline plus separate sets for medical equipment and nurse call. Education projects get wing-based or building-based splits for large campuses. High-rise residential gets floor-range worksets (1-10, 11-20, etc.) for very large teams. Office buildings use the standard discipline split: Architecture, Structure, MEP, Site, Links.

Performance optimization

The most important workset performance rule: keep Linked Models in their own worksets, closed when not needed. A 500MB architectural link in an open workset forces Revit to load all its geometry. Other performance tips: place landscape and site elements in their own workset (close during interior coordination); split large floor plans into zone worksets for models over 300MB; never use the default workset "Workset1" — rename it to the primary discipline.

Workset naming convention

Generated worksets follow the pattern: [Discipline Code]-[Description]. Examples: AR-Exterior (architecture exterior), AR-Interior, ST-Structure, ME-HVAC, ME-Plumbing, EL-Power, EL-Lighting, FP-Fire Suppression, FA-Fire Alarm, IT-Low Voltage, SITE-Civil, LINK-Arch, LINK-Struct, LINK-MEP. The discipline code prefix enables filtering and browser organization. Never use spaces in workset names — use hyphens for cross-platform compatibility.

Frequently asked questions

How many worksets should a Revit project have?

Most projects need 8–15 worksets. A small commercial project (1-2 floors, under 50MB) can work with 5-7 worksets: Architecture, Structure, MEP, Site, Linked Models. A large hospital or campus project may need 20-30 worksets split by wing, floor range, or sub-discipline. Avoid over-segmenting — every additional workset adds management overhead. The test: if you never selectively close a workset to improve performance, it serves no purpose and should be merged.

What happens if two people try to edit the same workset?

Only one person can own (check out) a workset at a time. If User A has checked out Workset "AR-Interior," User B can view those elements but cannot move, modify, or delete them. User B will see a lock icon on AR-Interior elements. To edit, User B must either wait for User A to relinquish the workset (File → Relinquish All Mine), or request that User A saves to central so User B can borrow individual elements. Element borrowing allows multiple users to edit different elements within the same workset without full workset checkout.

What is the difference between a central model and a local copy?

In Revit worksharing, the central model is the master file stored on a network drive or BIM 360. Each team member works on a local copy — a synchronized version on their local machine. This prevents network lag and file locking. Team members save changes to their local copy, then synchronize with central (Ctrl+S by default prompts sync or File → Synchronize with Central) to push changes to the shared model. Best practice: sync to central every 30-60 minutes, and always sync before leaving for the day.

How do linked model worksets work?

Linked Revit files can be placed on their own workset (e.g., "LINK-Structural"). When this workset is closed, Revit unloads the linked file from memory — a significant performance gain for large models. The standard practice is one workset per linked discipline file. Note: the workset controls loading; you can also use Manage Links → Unload for more granular control. Linked file visibility can also be controlled per view through Visibility/Graphics → Revit Links, independent of workset status.

Can worksets be used in a single-user (non-workshared) Revit file?

No — worksets only exist in workshared files. A single-user file has no worksets. To enable worksharing, go to Collaborate → Worksets → Enable Worksets. Revit will create two default worksets (Shared Levels and Grids, Workset1). Once enabled, worksharing cannot be fully disabled without creating a new file. For solo projects, you can enable worksharing just to get workset-based visibility control, but be aware that the file size increases and some operations become slower due to worksharing overhead.
